In accordance with Article 13 of the General Data Protection Regulation (GDPR), the following information explains how personal data is collected in relation to applications for positions at the Technical University of Munich (TUM).

3. Purpose and legal basis

   The purpose of collecting your data is to review your application as part of a lawful application process. TUM stores the data you submit with your application and uses it to determine whether to invite you to an interview. For applicants who are fundamentally suitable, further personal data essential to the selection decision may be collected. If you are eligible for recruitment, you will be informed separately about additional personal data collected during the recruitment process.

   The legal bases are Article 6(1), sentence 1(b), Article 9(2)(b) and (h), and Article 88(1) GDPR, together with Article 8(1), sentence 1, numbers 2 and 3 of the Bavarian Data Protection Act (BayDSG).

4. Electronic processing

   Where your personal data is processed and stored electronically, the technical operation of TUM’s data-processing systems is carried out by the state data-processing centres as processors.

5. Storage period

   Personal data collected in connection with your application is stored for at least six months. If your application is unsuccessful or withdrawn, the submitted data is destroyed six months after notification of the rejection. Retention during this period is required for possible legal proceedings, particularly claims under the German General Act on Equal Treatment (AGG). If you are recruited, you will be informed separately about the rules governing personnel records.

6. Your rights
   • Access to the personal data stored about you (Article 15 GDPR).
   • Rectification of inaccurate personal data (Article 16 GDPR).
   • Where the legal requirements are met, erasure or restriction of processing and the right to object to processing (Articles 17, 18 and 21(1) GDPR).

   TUM will verify whether the legal requirements are met when you exercise these rights. A request to erase application data during the application process will be treated as withdrawal of the application.
